Creating & Managing Properties

To create a new property, follow these steps:

 

  • Go to Manage > Properties
  • Click “Add New”

 

  • Enter property information (Address, Legal Description, Description, etc.)
  • Select the membership type, add a reference ID (optional), and review details. Once completed, select “Create Property”
  • Add tiered pricing if necessary, and click “Next”
  • Create questions and click “Next”
  • Set any necessary restrictions and select “Next”
  • Finally, add any waivers needed and click “Save and Publish”

 

Notes:

  • Changes made on the first page (Edit Property) must be saved by selecting “Create Property” or “Update Property”.
  • Once a property has been created, it does not have to be published right away. Administrator can navigate away and come back to publish the property at a later time.

 

PROPERT OWNER

 

Once a property is created, you can search for it (using the search bar) and add a property owner.

 

  • Click Add Owner to search for an owner.

  • Enter the name or part of the name of the new owner. The name box will auto populate as you type.  Once you have located the owner, enter any admin notes and click Update.

 

  • Click the Invoice button to generate an invoice for the owner.

  • You will have the ability to override the membership price.

 

CHANGE PROPERTY OWNER

 

From the Property Details page, click the Change Owner button to select a new owner for the property.

 

 

Select the owner from the search list.  The user may already be in the system.  The search list will auto-populate when you start typing in a name. Add an admin note to indicate the owner change reason. If the user doesn’t already exist in the system can click Create Member to add a new user to the system.

 

Please note the following concerning outstanding invoices on properties when ownership has changed:

– Property details page will continue to show all outstanding invoices on the property.

– Outstanding invoices are addressed to and belong to the previous owner(s) and will appear in previous owner(s) profiles.

 

**If outstanding invoices must be addressed to new owner’s name, the existing invoice addressed to the previous owner must be revoked and a new invoice generated for the new owner.

 

 

ADD RESIDENTS AND TENANTS TO PROPERTY

 

Residents and tenants are added to a property details page. To find a property, search for the address using the search bar. Once a property is located, click to view the detail page.

 

  • Select the Add buttons to add residents and tenants to the property.
  • Please note that people must be part of the owner’s entourage in order for them to appear in the drop down menu to add the resident or tenant.

 

 

STATUS

Under “Status” some unpaid properties say “suspended” while others under “Status” say expired on a particular date.

 

 

  • A membership that is suspended has been manually suspended by an admin user. 
  • A membership that has been expired means that the date of expiry has since passed.
