Supplementary Resources

This module will maintain a working inventory for items such as chairs, tables, a/v equipment, licenses, etc. These units can be applied to facility bookings, and will be made visible during the customer’s booking.  Fees can be associated to Supplementary Resources and invoiced along with the booking.

 

Adding Supplementary Resources to Programs

Adding Supplementary Resources to Facilities

 

To create supplementary resources:

 

Go to Manage–>Supplementary Resources

 

Click New to add a resource:

 

 

Enter the name of the resource, the total amount available, description and price (if applicable). 

 

 

Adding Supplementary Resources to Programs

 

To make a resource available to a program, navigate to the program and select the option to edit it.  On the edit screen you will see two options:

 

Supplementary Resources: This requires resources to be setup in the Supplementary Resources module.  Then select the resource name(s) in the field provided.  This reserves the supplementary resource for the date/time of the scheduled occurrences.

 

Charge for Supplementary Resources: If selected, any resources in the Supplementary Resources that have costs associated with them (as per the setup in the Supplementary Resources module) field will be added to the registrant’s invoice.

When the registrant adds a program to their cart, a window will appear which will ask them to indicate the number of the resource(s) that they wish to include.  If the selection for “Charge for Supplementary Resources” is checked off in the program then the amount per resource will also be displayed.

This will then appear on the invoice as a line item.

 

To make this resource available to a facility, navigate to the facility edit details page and add as many resources as necessary into the box provided.  If you wish to also charge for any of the supplementary resources, select the box for “Charge for supplementary resources”.

 

Adding Supplementary Resources to Facilities

 

When creating a booking the admin or end user can indicate the number of items based on the quantity available at that time:

 

The supplementary resources will also appear on the Rental Agreement and on the Facility Bookings report for each booking where resources have been booked.  Any fees associated with Supplementary Resources will be calculated on the booking invoice.
